Mô Tả Công Việc

Primary function is to provide timely, efficient and high level of confidential support to the CEO, from routine to complex secretarial, administrative, clerical and office duties, including verbal and written communications, business contacts, calendar, meetings, travel and special projects. The position requires diplomacy, discretion and understanding of the responsibilities, needs and priorities of the CEO.

Secondary function is to plan, direct, coordinate and manages the overall administrative support within the Company.

Key Responsibilities:
Receives general direction from the CEO and interacts with the Board of Directors, senior management, employees, clients, consultants, etc.
Coordinate and prioritise the workflow and diary management of the CEO as appropriate, screening and channelling telephone calls, enquiries, requests, and appointments.
Managing the CEO extensive calendar, sorting and filtering requests for the CEO’s time while ensuring priorities are met in a timely manner.
Coordinating the CEO and his family’s travel program.
Coordinating conference calls and meetings, including the logistical arrangements.
Performing special projects as directed by the CEO (or at own initiative), including the review, research, summarization or analysis of information.
Produce, modifying and compile documents and presentations for internal and external use by the CEO.
Maintain efficient and retrievable filing system.
Contact, coordinate and negotiate with car rental providers on leasing and rental of vehicle for the Company.
Contact, coordinate and negotiate with selected hotels on Corporate Rates and make hotel reservations as required.
Contact, coordinate and negotiate with Travel Agents and/or Airline Companies on best rates for air tickets, and make flight reservations as required.
Ensure office stationaries and supplies/consumables are ordered or replenished in a timely manner.
Ensure safety and security of the office premise.
Supervision of staff – General Clerk, Receptionist and Driver (if any).
Provide administrative guidance, assist and/or making recommendations as appropriate, to other administration staff within the Company in compliance with policies and procedures, use of equipment and forms, improvement in work flow, etc.
Coordinate/assist to coordinate special events as required.
Any other tasks that may be assigned from time to time to meet business needs.

Yêu Cầu Công Việc

At least 5 years relevant working experience as PA to senior level management, preferably in multi-national company.
Excellent command of English (speak, read, write)
Ability to speak French is an added advantage.
Preferably someone who can start immediately.
Able to work with tight datelines.
Excellent with MS Office applications.
